Accounting Assistant - Invoicing

We’re looking for a reliable, detail-oriented Accounting Assistant – Invoicing to join our Finance team in Langley. This role is all about keeping invoicing moving, following up with customers, and supporting healthy cash flow through consistent, accurate work. If you’re someone who can manage their own workload, follow a checklist, ask the right questions, and stay on top of details without being chased, this role will suit you well.

About the Role

The Accounting Assistant – Invoicing is responsible for preparing and issuing customer invoices, following up on outstanding balances, and ensuring information is accurate and complete before invoices go out the door. This role plays an important part in cash flow timing and works closely with internal teams to resolve billing questions quickly and professionally.

You do not need to be a senior accountant, but you do need strong problem solving, confidence communicating with others, and the ability to manage priorities independently in a fast-paced environment.

Core Accountabilities

Invoicing & Accounts Receivable Support

  • Prepare and issue customer invoices accurately and on time.
  • Ensure all required information is gathered before invoicing by tracking down details and asking the right questions internally.
  • Record payments and assist with account updates as needed.
  • Monitor outstanding invoices and follow up with customers in a professional, consistent manner.
  • Escalate issues or discrepancies appropriately to keep accounts moving.

Cash Flow Awareness & Follow-Up

  • Understand how invoicing timing and collections impact cash flow and the business overall.
  • Stay on top of aging accounts and proactively follow up to support timely payment.
  • Use checklists and systems to ensure nothing falls through the cracks.

Organization, Accuracy & Problem Solving

  • Maintain accurate records and documentation.
  • Follow established processes while identifying gaps or inefficiencies.
  • Troubleshoot invoicing issues by finding information, connecting with the right people, and resolving problems quickly.
  • Manage daily workload independently and adjust priorities as needed.

What We’re Looking For

  • 2+ years of experience in an accounting, invoicing, or accounts receivable support role.
  • Strong attention to detail with the ability to follow processes and checklists.
  • Comfortable following up with customers and communicating with internal teams.
  • Organized, proactive, and able to self-manage workload in a busy environment.
  • Practical, common-sense approach to problem solving.
  • Quick learner who is outgoing enough to ask questions and seek clarity.
  • Solid Excel skills and comfort working in accounting systems.
  • Post-secondary education in Accounting, Finance, or Business Administration is an asset.
