Customer Service Administrator - Service & Warranty

We’re looking for a Customer Service Administrator in our Supply Only Service & Warranty department who doesn’t just answer calls and emails, but takes ownership of the customer experience at one of the most critical points: after the sale. This role supports our Service Department and plays a key part in delivering on our brand promise. You’ll be the first voice our customers hear when something needs fixing—and the one who ensures it gets done right.

What You’ll Be Doing

  • Be the Front Line: Act as the first point of contact for all product, service, and warranty inquiries—via phone and email.
  • Process and Coordinate Orders: Accurately process warranty parts orders, prepare shipping invoices, and coordinate deliveries to ensure smooth and timely resolution for the customer.
  • Problem-Solve with Care: Troubleshoot issues and guide customers through solutions, especially with parts, damage, or installation questions.
  • Communicate with Clarity: Whether over the phone or through email, communicate with professionalism, empathy, and precision. You'll be expected to clearly explain processes, next steps, and timelines—especially in situations where customers may be frustrated or confused. Your tone should reflect calm confidence, ensuring customers feel heard, supported, and reassured that their issue is being handled.
  • Support the Team: Cross-train with peers to ensure continuity of service and contribute to a high-functioning, collaborative service environment.
  • Spot Trends Early: Flag recurring service issues and warranty trends for the broader team to improve product quality and customer satisfaction.

 

What We’re Looking For

  • 2+ years of experience in a customer-facing or administrative role, ideally in a service, manufacturing, construction, home improvement, or technical product environment
  • Strong working knowledge of service coordination, order entry, or warranty processes
  • Fluent in English, with exceptional communication skills (both written and verbal); able to clearly explain technical or process-related information to customers
  • Proven ability to handle high-volume customer interactions with professionalism and empathy
  • Highly organized, accurate, and efficient—especially when managing warranty claims and logistics
  • Comfortable navigating internal systems, performing data entry, and using email and scheduling tools
  • Bonus if you’ve worked with windows, doors, home building products, or parts-based technical items
